Capablio — user guide

What Capablio is for
Capablio helps you collect multi-rater feedback and turn it into a personal development plan (PDP). It is designed as a development process, not a performance appraisal or ranking tool.
Today you typically:
- Complete a guided survey (or upload an existing Thomas 360 PDF).
- Review results with your direct HR when they are ready.
- Build a short PDP with a few SMART objectives.
- Work the plan during the period and mark progress.
Sign in
- Open your organization’s Capablio URL (for example
https://capablio.com/app/). - Sign in with Google using the email your admin invited.
- On first invite, follow any key-import steps shown on the account screen so only you (and your direct HR, for survey data) can decrypt personal content.
If you cannot sign in, contact your tenant admin — Capablio does not reset passwords; access is tied to your Google account and invite record.
If you are a rater
- Open the survey link or Complete a survey from the home dashboard.
- Answer in the chat-style flow. Progress is shown as you go.
- Use Not Observed when you did not see the behavior — that is better than guessing.
- Add short comments where they help; one clear example beats a long essay.
- Submit when the conversation finishes. You will not see the subject’s personal results.
You are not charged as a seat for rating someone else.
If you are a subject
During collection
- Your raters answer privately. You do not see live individual answers during collection.
- Your direct HR tracks completion (who finished), not personal scores, until wrap-up.
After wrap-up
- Open My results & PDP.
- Review the feedback and snapshot materials your HR shared or that the system unlocked for you.
- Start the PDP interview — Capablio pushes back when a goal is not grounded in evidence.
- Finalize two or three SMART objectives and work them during the period.
- Mark goals complete as you finish them. Only you can read the encrypted plan content; HR and managers see activity statistics, not the plan text.
PDF import path
If your organization ran a Thomas (or similar) 360 outside Capablio, you or your direct HR can upload the PDFs so you still enter the Capablio results and PDP journey. Treat that report as an external baseline for this cycle.
Privacy in one paragraph
Personal answers are stored so that you and your direct HR can decrypt them. Managers and upper HR see aggregates and completion, not private detail. Your PDP is encrypted so only you can read it. Generated PDF files are not kept on Capablio servers after download.
What is coming next (not available yet)
Capablio is preparing a production-scale Adaptive Feedback Framework: shorter recurring check-ins, question cooldowns, smarter rotation so the same item is not over-asked, and PDP-linked follow-up questions. Those capabilities are documented for engineering and marked Unimplemented until shipped — see framework/implementation-status.md.
Until then, expect the current period survey (typically quarterly) and full catalog conversation, not daily/weekly pulse programs.
